PAYMENTS AND SCHEDULING
Cancellation and Refund Policy
Last updated: 30 June 2026
This Policy explains the standard cancellation, rescheduling and refund approach for services provided by Puneeth Kumar U.
The exact commercial terms for an engagement may also be stated in a proposal, statement of work, invoice, booking confirmation or email. Where a specifically agreed term differs from this general Policy, the specifically agreed term will apply, subject to mandatory legal rights.
Fees vary by requirement because scope, preparation, time, participant count, location, third-party costs and support needs can differ.

SECTION 1
1. General Principles
Cancellation and refund decisions are based on the service type, notice provided, work completed, preparation undertaken, time reserved, committed costs and the terms accepted for the engagement.
No term in this Policy is intended to remove or restrict a consumer or statutory right that cannot lawfully be excluded.
A refund is not automatic merely because a desired marketing, business, learning or platform outcome was not achieved. Results depend on multiple factors and are not guaranteed.
SECTION 2
2. When a Booking or Project Is Confirmed
An enquiry or introductory conversation does not reserve a date or create a paid engagement.
A session, workshop, project or retainer is confirmed only after the scope and applicable terms are accepted and the required advance or full payment is received.
Any cancellation period is calculated from the date and time the written cancellation request is received.
SECTION 3
3. How to Request a Cancellation, Reschedule or Refund
Send the request in writing to growth@puneethkumaru.com or through the same agreed written communication channel used for the engagement.
Include your name, service or project, scheduled date if applicable, payment reference and the action requested.
A request is not complete until sufficient information is available to identify the engagement and assess the work or costs already committed.
SECTION 4
4. One-to-One Consulting and Mentoring Sessions
Single consulting and mentoring sessions are normally paid in full in advance.
The standard procedure is:
- Rescheduling: one reschedule may be requested with at least 24 hours' notice, subject to availability.
- Cancellation with at least 48 hours' notice: the client may choose a credit for a future session or request a refund, less any clearly disclosed non-recoverable payment-processing cost where permitted by law.
- Cancellation between 24 and 48 hours before the session: one reschedule or service credit is normally offered; a cash refund is not normally available.
- Cancellation with less than 24 hours' notice or non-attendance: the fee is normally non-refundable because the time was reserved.
- If substantial customised preparation has already been completed, the reasonable value of that preparation may be deducted from an otherwise available refund if this was disclosed and can be explained.
SECTION 5
5. Project Review Sessions
A project review normally includes advance review of submitted material and a scheduled feedback session.
Once review work has started, the completed preparation is chargeable even if the meeting is later cancelled.
- Before review begins: the client may reschedule or request a refund under the same notice periods used for a one-to-one session.
- After review begins but before the feedback meeting: any refund is limited to the undelivered portion after deducting completed review work.
- After written or verbal feedback has been delivered: the service is treated as delivered and the fee is non-refundable, except where required by law or where the agreed service was materially not provided.
- A standard feedback meeting may normally be rescheduled once with at least 24 hours' notice.
SECTION 6
6. Fixed-Scope Consulting or Implementation Projects
Fixed projects are normally confirmed with an advance, commonly 50%, followed by a milestone or final payment.
The advance reserves capacity and may cover discovery, research, planning, setup, preparation and early delivery.
- Cancellation before work begins: refundable amounts will be returned after deducting approved third-party costs and non-recoverable processing costs, if any.
- Cancellation after work begins: the client must pay for work completed, reserved capacity reasonably lost, approved expenses and committed third-party costs.
- Where the amount paid exceeds the value of completed and committed work, the approved balance will be refunded.
- Where completed and committed work exceeds the amount paid, the remaining amount becomes payable.
- Completed Deliverables already supplied remain governed by the intellectual-property and usage terms of the engagement.
SECTION 7
7. Ongoing Advisory and Monthly Retainers
Retainers and ongoing advisory are normally billed monthly in advance.
Unless the Engagement Document states otherwise:
- A client may stop future renewal by giving written notice before the next billing date.
- The current paid service period is normally non-refundable once it has begun because capacity has been reserved and work may be distributed across the month.
- Where the provider agrees to an early end, any refund or credit is limited to clearly unperformed work after deducting completed work, reserved time, approved costs and commitments.
- Unused hours, activities or capacity do not automatically roll over or convert to a refund unless rollover is expressly included.
- Late payment may pause work without extending the service period unless otherwise agreed.
SECTION 8
8. Workshops and Custom Learning Engagements
Workshops and custom learning engagements often require preparation, resources, scheduling and possible travel or venue commitments.
The standard procedure, unless the proposal says otherwise, is:
- Rescheduling with at least five working days' notice: one reschedule may normally be offered, subject to availability and any additional travel, venue or supplier costs.
- Cancellation at least ten working days before delivery: refund of the amount paid after deducting completed preparation and approved non-recoverable third-party costs.
- Cancellation between five and nine working days before delivery: up to 50% of the professional fee may be retained for preparation and reserved capacity, plus committed costs.
- Cancellation with fewer than five working days' notice: the professional fee is normally non-refundable, although a reschedule may be considered.
- A shortened event, reduced attendance or participant non-attendance does not automatically reduce the agreed fee.
SECTION 9
9. In-Person Travel, Venue and Supplier Costs
Travel, accommodation, venue, printing, equipment, production, contractor and other supplier costs are refundable only to the extent the relevant provider refunds them.
Non-refundable or cancellation-charged third-party costs remain payable by the client where they were approved or reasonably committed for the engagement.
Any new cost caused by a client-requested reschedule will be confirmed before the new date is accepted.
SECTION 10
10. Advertising Spend, Software and External Platforms
Advertising spend, platform charges, domains, hosting, software, plugins, subscriptions, stock assets and other external purchases are not professional-service fees.
They are governed by the relevant third-party provider’s terms and refund process.
Where the client pays a platform directly, any refund request must normally be made to that provider.
Where a third-party amount is paid through me, I can return only the amount actually recovered after applicable charges and obligations.
SECTION 11
11. Client Delays and Inactive Projects
A project may be paused where required information, access, approvals, feedback or payment is not provided.
If a project remains inactive for 30 calendar days due to the client, it may be closed or moved to a later available slot after written notice.
Amounts already paid are not automatically refundable when inactivity is caused by the client. Completed work, reserved capacity, preparation and committed costs will be assessed.
Restarting may require a new timeline, reactivation fee or revised proposal where the scope, costs or availability have changed.
SECTION 12
12. Scope Changes and Change of Mind
A request to replace the approved objective, Deliverable, audience, platform, design direction or service type is a change request, not necessarily a cancellation.
The effect on completed work, fees and timelines will be explained before additional work begins.
A change of preference after approval does not create an automatic right to a refund for work already performed.
SECTION 13
13. Quality Concerns or Material Non-Delivery
If you believe an agreed service or Deliverable has not been provided materially as described, notify me promptly with clear details.
A reasonable opportunity should first be provided to review the concern and, where appropriate, correct, complete, replace or redeliver the affected work.
If the agreed service cannot reasonably be corrected or delivered, an appropriate refund may be provided for the materially undelivered portion, subject to applicable law.
Subjective dissatisfaction with an approved direction, platform outcome or business performance is not the same as material non-delivery.
SECTION 14
14. Cancellation by the Service Provider
I may need to cancel or reschedule because of serious illness, emergency, safety issue, platform outage, force majeure, conflict, unlawful instruction or another reasonable cause.
Where I cancel before delivery and cannot offer a suitable reschedule, the amount paid for the undelivered service will be refunded.
Where part of an engagement has been delivered, any refund will normally be limited to the undelivered portion after completed work and approved costs are accounted for.
I am not responsible for indirect loss arising from a cancellation, but this does not limit any responsibility that cannot lawfully be excluded.
SECTION 15
15. No-Shows and Late Arrival
A participant who does not attend a confirmed session without timely notice is treated as a no-show, and the fee is normally non-refundable.
A late start caused by the participant does not automatically extend the scheduled end time.
Where possible, the remaining session time will be used. A separate new booking may be required for additional time.
SECTION 16
16. Credits
Where offered, a credit is not cash and may be used only for the service, person or organisation stated in writing.
Unless another period is confirmed, a service credit should be used within 90 days of issue.
Credits are subject to availability, cannot normally be transferred or resold and expire if not used within the stated period.
SECTION 17
17. Non-Refundable Amounts
Subject to applicable law, the following are normally non-refundable once incurred or delivered:
- Completed consulting, research, review, strategy, writing, design, setup, development, reporting or training work.
- Sessions, meetings, workshops or feedback already delivered.
- Reserved time lost because of late cancellation or non-attendance.
- Approved travel, venue, contractor, software, media, stock-asset and supplier commitments.
- Advertising spend and platform charges.
- Rush or priority work already undertaken.
- Customised materials already prepared.
- Taxes, fees or payment-processing costs only to the extent they are genuinely non-recoverable and may lawfully be retained.
SECTION 18
18. Refund Review and Calculation
A refund review considers the amount received, completed work, agreed rates or milestones, preparation, reserved capacity, approved expenses, third-party commitments, credits already provided and mandatory legal rights.
Where a partial refund is approved, a short calculation or explanation will be provided.
The amount retained will not exceed the reasonable value of work, time and costs properly attributable to the engagement, subject to the agreed terms and applicable law.
SECTION 19
19. Refund Method and Processing Time
Approved refunds are normally initiated within seven to ten working days after the amount and recipient details are confirmed.
The refund will normally be sent through the original payment method where practical, or by an agreed bank-transfer method.
Banks, payment gateways and card providers may take additional time to credit the amount after it has been initiated.
A refund is considered completed when the payment has been successfully released from my side, subject to correction of any failed transaction.
SECTION 20
20. Chargebacks and Payment Disputes
Before starting a chargeback or payment dispute, contact growth@puneethkumaru.com so the matter can be reviewed and relevant records shared.
A chargeback does not remove the obligation to pay for work properly delivered or authorised costs.
Fraudulent, duplicate or unauthorised transactions will be investigated and corrected where verified.
SECTION 21
21. Consumer and Statutory Rights
Nothing in this Policy removes or reduces a right or remedy that cannot lawfully be excluded under applicable Indian law.
Where a consumer-protection requirement applies and conflicts with this Policy, the mandatory legal requirement will prevail.
You may also use available consumer grievance channels where applicable after first giving a reasonable opportunity to resolve the issue directly.
SECTION 22
22. Changes to This Policy
This Policy may be updated when services, scheduling, payment methods, business practices or applicable requirements change.
The latest version will be published with an updated date.
A change will not retrospectively remove a specifically agreed right for an already confirmed engagement unless the parties agree or the law requires it.
